Merchant Bookings
Users with a connection to Merchant Ag can create bookings for customers within FieldAlytics. Bookings created within Merchant Ag will also sync back to FieldAlytics. This gives users the flexibility to enter the booking wherever they prefer, and have the ability to manage them within either system.
Prerequisite
Users connected to Merchant Ag must have the Merchant Connect API installed in order to utilize and consume bookings within FieldAlytics. Contact your Merchant Ag representative with any questions regarding the Connect API.
Accessing Merchant Bookings
- At the grower level, click the Tools dropdown on the right and select "Booking / Prepay"
- The Booking modal will load and present any existing open bookings in the current year for the customer
- By default the "ERP Connected" toggle is on [1]
- Toggling this off would display any booking created that is not connected to Merchant
- Any non-connected booking will never be submitted to Merchant
- Clicking "Filter" presents the user with available filter options [2]
- Creation Date - Allows the user to search for booking created within a certain date range
- By default, set to the current year begin/end
- Expiration Date - Allows the user to search for bookings that will expire in a given date range
- Inventory Site - User can use this to filter to bookings created for a specific inventory site
- Product Categories - User can filter to bookings created for a specific category
- Fertilizer, Chemical, Seed, and Miscellaneous item categories are available
- Creation Date - Allows the user to search for booking created within a certain date range
- "Add New Booking" opens the modal to create a new booking [3]
- Each row will contain the Merchant booking name, primary site, booking ID and the booking status
- The Merchant barn will display on the right for each connected booking
- Click on the booking row to expand it [4]
- The item on the booking is displayed along with the booking details
Creating Merchant Bookings
- Start by clicking "Add New Booking" in the upper right of the booking modal
- Make sure that "Merchant Ag" is selected as the product list in the Booking Metadata modal and click Continue
- [1] A custom booking name may be entered in the upper left
- Booking status can be set
- Defaulted to Open
- At least one inventory site must be selected
- The first inventory site selected is set as the Primary Inventory Site
- In order to change the first site loaded, the user must first select a different inventory site and then remove the first site
- Booking Signed - This checkbox indicates whether or not a signed agreement accompanies the booking
- [2] Creation Date, Expiration Date, and Agreement Date can be set in the upper right
- All three dates are the current year-month-day by default

- **Only one item may be selected per booking connected to Merchant**
- Only one item can be selected when making bookings locally in Merchant
- Use the Category dropdown to change the category of the item desired to book
- Amount - Set the unit and enter the total quantity being booked
- This is optional dependent upon whether or not "Quote" is selected
- Set the unit for the item and enter quantity if the booking is not a Quote
- Price can be set for the item being booked
- If the booking is to be "Priced At Sale" the price may not be set
- If the booking is a "Quote", the price will need to be set
- Price At Sale - This booking attribute indicates that the product will be sold at the current price at the time of actually making the sale
- Quote - This booking attribute indicates that the customer is being quoted for the price of the item, but not a set quantity
- Total Booking price is calculated based on the configuration of the booking
- **Only one item may be selected per booking connected to Merchant**
- Terms can be added to the booking record [4]
- Terms are optional
- A user may enter one term or many
- Terms are placed into the comments section on the booking within Merchant
- Clicking "Save" in the lower right will save the booking and send it to Merchant
- Booking ID will be returned and presented on the booking
- Clicking "Close" will close the booking modal
Editing Merchant Bookings
- Only open bookings connected to Merchant may be edited
- Any edits to open bookings will update the booking record in Merchant
- Closed bookings may not be edited
