Agris ERP Authorization and Setup

Authorization 

FieldAlytics provides an integration to the Agris ERP. With the integration, users are able to link growers, farms, and fields, along with being able to send completed work orders for billing. In order to facilitate this connection, please contact your Agris Representative. Agris will then provide FieldAlytics with an authentication key that will facilitate API communication. Once FieldAlytics has this key, access will be granted to the Agris Connection in the 3rd Party ERP tool.

Enrolled Location Setup

Once authorization has been granted, we can then begin the enrolled location setup by clicking on Manage Enrolled Locations.

Enrolled locations serve two purposes as part of the integration the first being what parent locations are connected to the ERP and the second providing inventory site functionality, enabling work orders to correctly reference inventory at the time of billing. The list available locations to enroll will be that of your FieldAlytics management tree. To enroll a location, simply toggle the enrolled slider to Yes and enter the AGRIS ID. The Agris ID is a requirement to be able to automatically pull product information from Agris.

PLEASE NOTE: Users with locations set up before release v6.9 (11/20/2023) must link an Agris ID to each enrolled location. Once a location has an Agris ID associated, FieldAlytics will automatically connect to the Agris product database, as well as reconnect Growers under each location.

In some cases, you may have additional locations to enroll that are not parents to any growers; these may be airstrips or warehouses as examples. Create this location in your FieldAlytics management tree and enroll them in the ERP tool. You can later delete these locations from your FieldAlytics management tree to remove confusion from agronomy staff. Please note it takes 24 hours for a FieldAlytics location to appear in the ERP enrolled locations list. 

Once you have enrolled your locations, please contact FieldAlytics support. They will then provide the identifying unique IDs for these locations to Agris for downstream work order communication. Agris will add this information to your Agris installation. 


Product Syncing

Products from the connected Agris will now be automatically synced from Agris and set up in FieldAlytics. Eliminating the need to set up products between the two platforms manually. Products will be synced from your Agris Database once per day at midnight UTC. Products will contain all key attributes needed for FieldAlytics, including EPA Number, Density, Price, and Nutrient Analysis. These products can be viewed within the Chemical and Seed Management Tool. Fertilizer Products will be visible in our forthcoming updates to the fertilizer management tool. All products will be available immediately within Work Orders, Fertility, and Farm Planning once synced from Agris.



Operation Codes

Agris operation codes need to be provided to the FieldAlytics client services team. These codes are available for selection in the job wizard for chemical, fertilizer, soil sampling, and delivery ticket work order types. These will be manually added by the FieldAlytics team and takes a few days to turn around additions or changes. Please provide the Code Name, its Agris ID, whether or not it will be used for delivery tickets and the Unit of Measure. Currently, EACH unit of measures are not supported. Delivery ticket operations codes are a different list than application and sampling codes in FieldAlytics.

Unit of Measure Mapping

Units of measure must be mapped between the two platforms; this mapping occurs in Agris. This enables Agris to understand the various UOMs that were selected in FA as part of the work order. UOM mapping is the same across all of FieldAlytics so please ensure that your mapping is implemented like the screenshot below.

Crop Setup

Between the two platforms, crops must be mapped in order to facilitate work order communication of the correct crop type. Select the "Crop Setup" tool to get started. You will be presented with, initially, an empty crop list. The first step will be to click the "Import Crops" button. Upload your crop list as a CSV. This list is exported from Agris, or you may build it yourself manually; it is essential that the crop names in the list match the crop names in Agris exactly. Through this workflow, you can also update or remove crops by selecting the different upload options. In practice, once the initial crop mapping occurs, it is rarely, if ever, touched again by the organization. 

Once the file upload completes you will then be presented with a list of crops from that file that will need to be mapped to both FieldAlytics and CDMS. The need to map to both is due to the Fertility module in FieldAlytics using a different crop list than that of CDMS. An Agris crop may only be mapped to once CDMS and FieldAlytics crop. If you have varieties or multiple crops of the same crop type you may only select one. The selected crop will be the crop used to communicate to the Agris ERP.
